Job Description

Key Responsibilities

1. Infrastructure & Facility Management

· Manage Pan-India office infrastructure, including HO and regional offices

· Oversee office fit-outs, renovations, refurbishments, and space optimization projects

· Ensure effective functioning of HVAC, electrical systems, fire safety, access control, security, housekeeping & pantry services

· Conduct periodic facility audits and ensure compliance with safety and statutory norms

2. Office Administration

· Ensure seamless day-to-day office operations across locations

· Implement and monitor admin SOPs, policies, and service-level benchmarks

· Manage assets, inventory, AMC renewals, and asset lifecycle tracking

· Drive digitization of admin processes and MIS systems

3. Vendor Management

· Empanel, negotiate, and manage facility, housekeeping, security, travel, transport, and service vendors

· Track vendor performance through SLAs and KPIs

· Handle cost control, billing validation, invoice processing, and dispute resolution

· Support annual budgeting and quarterly cost reviews

4. Travel & Event Support

· Oversee employee travel management (domestic & international coordination support)

· Ensure compliance with travel policies and cost optimization

· Plan and execute corporate events, townhalls, employee engagement activities, and leadership meetings

· Coordinate logistics, vendors, and on-ground execution for events

5. Stakeholder Management

· Act as a single point of contact for internal stakeholders (Leadership, HR, IT, Finance)

· Liaise with landlords, developers, building management, and government authorities

· Handle escalations professionally and ensure quick resolution across locations

6. MIS & Reporting

· Prepare and present monthly MIS dashboards covering:

o Facility performance

o Cost & budget tracking

o Vendor SLAs

o Travel & event spends

· Provide actionable insights for decision-making.

7. Compliance & Governance

· Ensure adherence to local statutory requirements, fire NOCs, insurance, licenses, and audits

· Support internal & external audits related to admin and facilities.
